DEFINE THE FUTURE EXPERIENCE OF AN ENTERPRISE SEARCH ENGINE.
Our goal was to define the future state of BP’s information retrieval system that would create a seamless experience for the BP employees across different locations to search and access information in form of million of documents stored across 40+ servers worldwide.

Project Background
SmartSearch is an enterprise search engine that indexes and showcases millions of documents. The tool helps users to access and gain knowledge from millions of documents and make informed decisions based on their future work.
We helped SmartSearch to build a next-gen desktop search experience for all BP employees.
Design sprints were not established
Design requirements came on ad-hoc basis and there was not backlog created for design work that could enable to provide a holistic picture of the product design. The ad-hoc approach also proved to hamper productivity and better decision making.
User research was outdated
The user research was outdated and did not reflect the pain-points that might have came up after SmartSearch was launched. Hence it was difficult to understand user challenges and provide user-centred design solutions.
No user-testing was done to validate the designs
SmartSearch’s ongoing engagement with Wipro Digital didn’t account for testing with actual users. Most of the requirements and validations were given by the business team. We started to engage with end-users to understand their point of view and get their validations on the designs.
No design governance was done for previous designs
There was no design governance happening prior to our engagement and hence there were gaps between design and development. We worked with Wipro Digital to establish a streamlined design hand-off process and introduced design governance to bridge the gap between design and development.

The Existing Platform
The previous platform was created without addressing the experience that the platform will deliver to end users, resulting in a relatively low adoption rate while being a helpful tool.

This was the main page of the app where the user can search of a particular document.
CONS
The design lacks a clear visual hierarchy, making it difficult for the user to identify the most important information. The busy background further adds to the noise on the page, making it hard to distinguish between different elements.

This is page where user can filter for a particular file after they have performed an initial search.
CONS
The design lacks a clear information architecture. The user is unable to see all the information at once, which can lead to confusion and frustration. The lack of predictive search further adds to the difficulty in finding information.

This is the page where all the documents collection are visible.
CONS
In this case, the design lacks a clear information scent, making it difficult for the user to understand the relationship between different documents and collections. The user is unable to see the information about the creation date or the contents of the document at a glance. Additionally, the user can easily forget the name of the collection created in the past, making it hard to retrieve the information later.

We built SmartSearch which is an information retrieval application that discovers, crawls, transforms and stores information in response to user queries. SmartSearch also enables collaboration among different users and teams.

With SmartSearch – users can search, collate and share information gathered from millions of documents across different regions and functions.


Discover vast knowledge from data
With SmartSearch users get the most updated and relevant data available from BP data repositories. With the help of relevancy algorithms, user sees what makes sense in his context through a simple and easy to use interface.
Personalised for different personas
SmartSearch takes in consideration different aspects of a user profile like his location, job role, usage history, etc to give results personally relevant to them.


Driven by user’s feedback
Through research and enabling users to provide their feedback the product team gathers information regarding their needs and challenges to drive product.
A true product team for SmartSearch
Collaboration between teams helped establish a really effective product. The working model of the team was based on agile methodologies, and close collaboration helped us achieve aggressive goals in time.
Effective design governance
We helped set up structured design reviews and practices ensuring all changes and improvements are recorded. This helped make sure product is continuously improved and the gap between the designed screens and the final app is progressively reduced.
Extensive testing and validation of the designs
We planned and conducted regular user-testing sessions that enables us to gather feedback, create a rich backlog of enhancement and help us take future design decisions.
Improved user-adoption
After enhancing user-experience and interface, we launched a new version which got positive response from the users and we saw better adoption. We saw growth in user registrations and increased interest from other business units within BP.
